What we collect

When you contact us or request a demo

We collect the details you enter: your name, business email address, telephone number (if supplied), organisation, organisation type, products or features of interest, and the content of your message. Required fields are marked on the form.

Please do not use the public website forms to send offender information, incident evidence, health information, criminal-offence information or other sensitive operational data. If you send information about somebody else, you must have a lawful reason to do so.

Technical and security information

Our web server may record standard request information such as IP address, date and time, requested page, browser or device information, and response status. We use this to operate, diagnose and protect the website. When a form is submitted, the site creates a one-way hash of the submitting IP address and keeps it for about 45 seconds solely to rate-limit repeated submissions; the hash is then automatically deleted.

We do not use an enquiry to add you to a marketing list automatically. If we introduce optional email marketing, we will provide a separate choice and the ability to unsubscribe. We do not make solely automated decisions about you that have legal or similarly significant effects.

Where it is kept and who receives it

Form submissions are stored as private records in the SIVO website’s restricted WordPress administration area on our UK-hosted virtual private server. Authorised Urban Spark Group personnel can access them where needed to deal with the enquiry.

We may use suppliers that provide hosting, security, backups, website support and transactional email delivery. They act on our instructions under appropriate contractual and confidentiality obligations. We may also disclose information to professional advisers, regulators, courts, law-enforcement bodies or other authorities where reasonably necessary or required by law. We do not sell personal information.

If a supplier processes information outside the United Kingdom, we will use a lawful transfer mechanism where required, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, and carry out the checks required for that transfer. You may contact us for more information about relevant safeguards.

How long we keep it

Website enquiry records are normally kept for no longer than 24 months from submission and are then automatically deleted, unless the enquiry becomes part of an active customer relationship, we need the record for a legal or regulatory reason, or a dispute requires us to keep it longer. If an enquiry becomes a customer record, it is retained under the applicable customer and accounting retention periods.

Short-lived anti-spam IP hashes are deleted after about 45 seconds. Routine server and security logs are normally kept only for the period needed for security and troubleshooting and typically no longer than 90 days, unless an incident or legal requirement justifies longer retention. Backups expire through the relevant backup rotation.

Cookies

The public marketing pages do not currently use analytics or advertising cookies. WordPress uses essential cookies for authorised administrators when they sign in; these are necessary to secure and operate the administration area. If we add non-essential analytics or advertising technology, we will update this notice and ask for consent where the law requires it.

Your rights

Depending on the circumstances, UK data protection law gives you rights to:

• ask for a copy of your personal information;
• correct inaccurate or incomplete information;
• ask us to delete information;
• ask us to restrict how we use information;
• receive certain information in a portable format; and
• complain to a supervisory authority.

These rights are not all absolute and may not apply in every case. We may need to confirm your identity before acting on a request. We will not normally charge a fee and will respond within the period required by law.
